For example, perhaps all truck records need to have their reweigh interval changed to a new number of days. Or perhaps a change in state law means that all previously tax-exempt materials are now taxable. Rather than changing each record individually, all records meeting the proper criteria can be changed at once.
To make batch changes, operators must belong to a permissions group that has the permission. Without permission, the menu choice will not be available. Making batch changes can be done with any of the files records, but it is probably most useful with those that have many records. For example, we'll make a change to the material records. the process is the same for any of the others. Batch Changes is accessed from the File menu. Note that one or more records (circled) have tax exempt status.
From the file menu, select batch changes and then the master file to be changed.
The operator is asked to provide a reason for making the change. Enter one and click OK.
Select the field to be changed. Then select the new value the data is to be changed to. In this case the check box is unchecked to show that tax exemption is not used. The new value dialog will be different depending on the field. Sometimes the operator will type in the new value.
Click add to add the change. Multiple changes may be made by selecting another field and entering a new value. Click next> to move select the criteria for making the changes.
Add the selection criteria. The new value dialog will be different depending on the field. Sometimes the operator will type in the new value. Click finish.
A confirmation dialog will be presented. Click yes to make the changes, no to abort. The number of changes is important. it is the operator's best indication that the criteria are correct, and is the last chance to back out. If more records will be changed than expected it may be best to verify the selection criteria. Changes are difficult to undo. The changes will be made. The operator may have to refresh the screen (refresh icon at the upper left) to show the changes.
